Prince2 (Projects in Controlled Environments) has been around in one type or another since 1996 and is currently thought of to be the de facto trade customary for structured, skilled project management.

The fast rise in quality of Prince2 as a project management methodology has maybe unsurprisingly semiconductor diode to a proliferation of coaching suppliers. Clearly a serious consider the recognition of Prince2 amongst coaching firms is that the premium value connected to their courses, which may be something from 600+ for a three day Foundation Prince2 course. At these rates then it’s vital to decide on the proper coaching supplier, however however does one grasp UN agency can deliver the goods?

The copyright of Prince2 belongs to the workplace of presidency Commerce (OGC). However, the responsibility for certification and certification of coaching is delegated to APMG-UK, based mostly in High Wycombe, Buckinghamshire. though situated within the kingdom, APMG conjointly give services variety of different European Countries.

Through a method of rigorous certification needs, APMG square measure able to management Prince2 coaching content, materials and delivery in a shot to standardise the educational expertise and guarantee ability within the application of the Prince2 methodology. however is APMG certification alone spare to confirm a positive learning experience?

Given the massive (and increasing) variety of Prince2 coaching organisations, all of that possess identical level of official certification, it is smart to contemplate additional criteria on that to evaluate Associate in Nursing acceptable supplier.

Testimonials for Prince2 Training

Testimonials square measure a lucid methodology of substantiating the service provided by any Company. once longing for clients’ comments on a Prince2 coaching suppliers web site, check that that they embody the writer’s name and Company in order that you’ll be able to check them out. The validity of any testimonial with simply a reputation is imprecise to mention the smallest amount and will be viewed with a degree of suspicion. If a personal or Company has been sufficiently affected to travel to the difficulty of writing a testimonial, they’re going to in no way mind somebody contacting them to verify their expertise. maybe Google their web site (if a link is not provided) and email them within the 1st instance. Your investment a substantial add and any smart coaching supplier ought to be happy for you’re taking up references before booking.

Another space to contemplate is that the individual tutor’s ability as an educator. it’s one factor to possess a substantial technical information, however quite another to possess the power to impart this information to others. Effective teaching may be a talent unto itself and takes a few years of sensible expertise to become really accomplished. a way of guaranteeing a minimum of a basic level of ability is to appear for recognised coaching qualifications. within the kingdom is taken into account fascinating to possess a minimum of grade three qualification like the town & Guilds 7303 (PTLS). This certifies ability to show adults over sixteen years elderly, but it’s not nonetheless a legal demand. amazingly, the APMG certification doesn’t need any extra coaching qualifications and their own assessment method can’t be thought of adequate proof of a large vary of coaching skills. Again, raise the coaching supplier UN agency can deliver the course and what his / her personal coaching qualifications square measure. If they need none then advance to a different. After all, there square measure lots to decide on from!

In conclusion, Prince2 coaching is heavily regulated within the kingdom, however not all suppliers square measure identical. It pays to try and do your analysis, notably once paying the expected premium.

When I meet with a client for the first time about how they might improve their project management function, I prefer to spend the first few meetings getting to learn about their organization, how the project management function is structured and perceived, and their long-term goals and objectives.

Let me describe one such meeting.

I was asked by a client “a services company” to help them get their hands around their project management practices so that improvements could be made that would help them meet a long term strategic goal of growing the organization by an additional 100 project management employees worldwide within 2 – 3 years and increasing revenue 50% + within the same time frame via the introduction of new products and services.

After the initial phone call or introductory meeting, I send off a list of questions for the client to answer about the project management function as it currently exists. I use the results of these questions to better prepare for my meeting with the client, and, I have found it really helps the client get a grasp of their project management function. In many cases clients “ask around” the organization to get these answers and/or ping the project managers to get their perspective. For some clients with a lower tolerance of preparing ahead of time, I either scale back on the questions or do more data gathering during the face-to-face meeting. My goal is to ensure that I have a deeper understanding of their project management function and the challenges that they face – and they will also gain a deeper understanding of their project management function.

Initial List of Questions
How are individuals assigned to project teams?
What methodology, if any, is followed by the project teams?
How is the project manager/project lead selected?
At what point in the project is the project manager brought in? For example,
During the initial project planning stages before the project is even decided upon?
During the initial project planning stages before the budget and timeline is set, but once the project has been decided upon?
After the budget has been set but the timeline is undecided?
After the budget and the timeline has been set?
Other?

How are deadlines set on the project? For example,

Top down?
By the project sponsor?
By the project manager/project team?
Other?

How is the project budget set? For example,

Top down?
By the project sponsor?
By the project manager/project team?
Other?

How much “push back” is tolerated/allowed by the project manager/project team on the budget, schedule, or other factors? For example,

Some, with tradeoffs
Only in certain circumstances
All the time – we rely on the project team’s expertise
Rarely
Never
Other?

Do your project managers manage global teams?

Do your project managers manage outside contractors?

How accurately do your project teams do the following:

Make accurate cost estimates
Make accurate scheduling estimates
Plan for and manage project risks
Meet milestones
Provide status reports/project tracking
Manage multiple resources
Capture lessons learned from all projects and apply best practices
Develop Work Breakdown Structures
Manage changes to the project

What project software is used within your organization and for what purposes? Does everyone use the software? If not, who does use it (e.g. a particular division or business unit?)

How do you measure the success of projects?
The Initial Client Meeting
Once I meet with the client, I’m also interested in knowing “how” the projects are completed. For example, does the client rely on a few “heroes” within the project management staff to get things done? (Think of those individuals you know who can swoop in and save a project – they will pitch in and roll up their sleeves regardless of the task.) If they do, I want to learn more about these individuals – their background, number of years with the organization, strengths, behaviors, etc.

A detailed project plan should be developed and signed off by the Steering Committee. It provides the following benefits:

It translates the high-level business objectives into a detailed ‘roadmap’ of concrete deliverables.

It provides a detailed list of resource requirements.

It provides a realistic assessment of project timescales.

It allows estimated project costs to be further validated.

It allows for issues to be identified early on, for example tasks taking longer than expected, slippage in target dates, team members not being productive.

Base the plan on known metrics, how long did a previous similar project take?

Involve all team members, not just senior management. Develop the plan in iterations over several weeks, by consulting team members and drawing on their experience.

Common Mistakes in Project Plan

Having no project plan.

A wrong project plan. Do not be swayed by a sexy looking project plan that has been produced to give the Steering Committee a warm, comfortable feeling, but which is not based on reality. A wrong project plan is worse than having no project plan at all.

As with all methodologies, a healthy dose of common sense and pragmatism is required. Do not be too religious, for example a 5-day project does not need a detailed project plan.

Do not loose sight of what the project is trying to achieve. Traditional project management techniques can encourage over planning and an excessive focus on micro level tasks at the expense of the overall objective.

Disbelieving evidence from past projects and insisting that the current project can be done faster with fewer people.

Committing to or baselining project plans too early.

Project Management templates are built-in documents that can be followed to create new projects. They can be in the form of MS word file, Excel sheet or a PDF document. Their Purpose is to reduce the load of documentation so that one should/must focus on real agenda. Simple rule of success is “follow something which is already successful”. Instead of create documents from scratch one must have a complete kit-bag to create document with few clicks of mouse. Most of project documents are created in Microsoft excel sheet. Imagine to pick right table sheet for right place and columns. This can be boring and time consuming.

Project Management Templates can help you to manage your work in a timely and efficient manner. Being able to deal with a few different projects at a time can be a very demanding and hectic. And if you are not careful, you may end up uncompleted. Hence it relieve the Managers of the pressure and provide success in the project.

Without such hand-outs you can fulfil the exact needs of documentation. Imagine your documentation unsuccessful when you don’t have to follow anything. Creativity is good but don’t sustain long time and depends upon the environment you have. No one can be creative and perfect for all time unless you have a pattern to follow. Success is only hidden some rules and formulae. So focus on what is creative and save your time instead of wasting on documentation.

Project Management Templates can help give you clarity and structure. Management is completely based on these two aspects. Management becomes a problem when there are too many things to handle. Some find it hard to complete the task in time. The documents are designed to be very easy to use and are kept simple. They will help make the job of a PM easier.

When people make investments on specific businesses and projects, they want to be informed of how exactly their money is invested. Project Management Templates are a perfect method of keeping tabs on project development and its impact.

One way of ensuring that best practices are embedded in project documentation is to base these documents. They are some kind of guideline that ensures a logical flow of information and at the same time makes sure that the critical data is captured.

To ensure a better decision making, it is imperative to have a complet set of Templates. These completed documents give a clear picture of the work done and thereby help in decision making process.

Project Management Templates can help speed up your work and hence bring about a sense of balance and calmness to the project manager and his team. This will result in better focus and hence better work.

They will give you the liberty of stopping wherever you want and then restart the work from where you stopped, thus keeping you on track. Thus these documents help to do better management by saving you time and unnecessary effort.

They are a boon to Project Managers as they help save time, energy and money. They also ease the burden on the project manager when he has to make reports to higher officials and investors. They help the managers in approaching the work in a far more effective manner.

This can also structure your communication and engagements ensuring that the final product is of high quality. Also it allows for continuity in the case when several people are assigned the same task. Hence such documents are very important tool in management.

However, there are some additional documents that should be included in this particular process that in some cases are only briefly covered by the PMBOK itself. Here are a few important documents to include when putting together a project plan that adheres to the project management association.

Project Description Statement – This should be a two to three sentence description of the project that someone who has nothing to do with the project could briefly read to get an understanding of the purpose of the project.

Scope Management Document – This document should describe how problems and changes to the project’s scope will be handled. In addition, it should spell out the scope of the project in great detail.

Assumptions & Constraints – It is very important to clearly spell out what is included in the project. However, it is even more important that you spell out what is not included in the project to avoid scope creep.

Roles & Responsibilities – This document should clearly spell out who will be working on the project, at what point they will be working on the project, and what are they going to be responsible for on the project. In addition, this should include a contact list for all the team members.

Organizational Chart – This should tell who reports to whom on the project and what each person’s title is when working on the project.

Work Breakdown Structure – This is a detailed document that tells who will be doing which tasks at the lowest possible level.

Work Breakdown Structure Dictionary – This defines all the lowest level tasks defined in the Work Breakdown Structure.

If you put all these documents together, you will get a full list of project scope documents as required by the PMBOK as well as a few others thrown in that your management will appreciate.

Project management is definitely not an easy task as one has to keep a lot of things in mind. Managing a big and complex project is no child’s play and you need to manage and coordinate many things at the same time. You can face a lot of unexpected problems even if you try to keep everything organized. However, there is an easy way to keep all the work updated and coordinated so that everything remains organized making the work less hectic. You can use project templates to keep the work organized and reduce your burden. You will not have to keep a constant and regular check on the small details and this will save a lot of time for other important things. It is also known as the advanced planning stage before you start implementing the actual project. You will be able to plan the work in the right way and take it in the right direction without any kinds of issues if you use the templates on a regular basis.

Planning is considered to be the first and most important step of any project. Improper planning can lead to many problems and issues which can spoil the whole work. Many people tend to ignore planning which gives rise to problems like incomplete project or increase of the project cost and budget. Thus, it is important that you prepare a proper plan before starting the actual project work. Always make a list of all the important factors that you need to consider while implementing the project. There might be certain unexpected problems or circumstances and you need to make certain conclusions to deal with these problems which might come up at a later stage. Another advantage about planning is that it helps you work on the budget and eventually reduces the cost of the project.

There are many ways in which you can create an interesting plan for the project. You can do it with the help of flow charts and diagrams which makes the whole process less hectic. However, sometimes planning can also become a lengthy process as you have to consider many factors. You might also forget certain small details which will spoil the plan. The best way to solve this problem is using the readymade project management templates. You just need to fill out the information and distribute the copies amongst the team members. The templates are very beneficial for the planning process and help you plan out things like project completion in the stipulated time, delegation of work and remedies for the various issues that might come up during the project. There are many different types of templates available and you can choose one according to your requirements. Project management templates have many advantages and speed up the whole PM process.

Document management solutions for your business

There is no doubt that most organizations have struggled to achieve the vision of a paperless office. The single document management solution, one that manages all types of content, across the whole enterprise has been but a dream for most. However, “a single source of information for all” can be achieved through many different strategies. For many organizations, it involved utilizing numerous pieces of software, training and re-training employees. This would be an expensive proposition in most cases but one way to achieve an environmentally friendly paperless environment.

Outside of environmental concerns with the current economic climate, the primary business driver for document management investment is cost reduction and time efficiencies.

The cost of filing and more importantly finding what is needed when it is needed continues to increase throughout organizations worldwide. The time and money spent on filing, re-filing and finding document and records actually increases every year. This doesn’t include the cost of not finding what you need to acquire the documents or emails for an audit or for legal reasons.

Most people are looking to manage all of their electronic and paper documents along with their emails with one piece of software. As close to the paperless office as you can get and still allowing you to use the software you use everyday and integrate with your file cabinet without leaving your chair. Document management made easy with enterprise level collaboration. How is that for peace of mind.

Online file sharing and collaboration is in its infancy. Sole practitioners and enterprise businesses are just starting to realize the power of online file sharing. There are many sites today that allow for collaboration from free ones to custom ones that require an IT staff to maintain. I am speaking to the enterprise and business user who looks to safely share files in the most efficient cost effective manner possible. Most of the file sharing sites are used to share large files that cannot be handled through email. That is one use but what about my files. I have a stack of project folders on my desk, many of them I can access a dozen times a day. Why. I did not know the answer to that until I researched file sharing. What I found was fascinating. What I found saved me and my company thousands of man hours, tons of resources and helped us close more deals and make more money. What I found was simple. Like most businesses I was sharing the same paper files, email and documents to different parties throughout the day. I found that I was looking up old emails to forward in part or whole to various parties throughout the day. I found my partners sharing documents related to the same subject matter or deal via email or fax with me.

Different versions crossing in the night, with many of the involved parties looking at old versions or not up to date. Business today revolves around file sharing. Sharing a Purchase order, architectural drawings, investment materials, x-rays, marketing materials, due diligence etc. It may be easy to share 1, 5 or 20 files but what about when you have 10, 20 projects or more with dozens or thousands of documents or sub folders.

Online document management today has matured. You can now share documents from your office or cellphone. You can save documents from your desktop right to your online storage and have it notify the parties that I am sharing with of the arrival of new documents. In fact, you can save all of your files, emails and documents into the folders online and share what I want with the specific permissions that you want to give (download, edit, etc.). You can have the permission expire or cancel them when I want and not worry about updating my partners or customers with repeat emails. As the revision or a new file hit the folder the folder automatically notifies the party that I shared with. This is the power of today’s document management software and file sharing programs.

Just like individuals, companies are uniquely different. Each one having it’s own identity if you will. The culture of the company grows from the beliefs and business practices developed over the years by the board and upper management. To work successfully with upper management you have to be able to understand what management is looking for with its project management style.

There are effectively five different types or approaches of project structure. Each one has it’s particular benefits and drawbacks and is identified by the authorization given to the project manager. The approaches we will review are:

Functional

Project Expediter

Project Coordinator

Strong / Weak Matrix

Projectized Organization

The function structure form is the most common structure used, It is structured around each functional management division and the authority that is provided to the project manager is usually limited to the functional division in which the work is being delivered. This is not an issue if the project is confined to that functional area, but in most cases when larger projects are being worked, there will be areas of cross-over into other functional areas. When the authorization is limited to one functional area, and work is being spread over many areas, there is a conflict on what functional area has authority to approve the work being designed or completed. It does, however, have the benefit of usually allowing specialization within functional areas. Using subject matter experts to manage projects has the added benefit of having your project manager also being someone that is knowledgeable in the details of the area, not just an expert in project skills.

The down side of functional organizations are staff is subject to only work within their area of expertise. This is not a problem when the project is within one functional area, but when the project spans many areas there is reluctance to venture outside what they know, and because of this, there tends to be one area of focus, and the other functional areas suffer with insufficient management.

Typically within this structure the project manager has no formal authority so it is important that the project manager has a good interpersonal relationship with the functional head who will carry all the authority for decisions within the project. Keep in mind though that the documentation for any project will still follow general guidelines and you will still want to get a project charter to formalize that there is in fact a project to complete.

It seems that anyone running a project can be referred to as the project manager, regardless of their abilities, training or expertise. Are all they governed by ethics or professional standards? With such a variance in the ability of people who are referred to as project managers, a cynic may find it hard to believe that all of them are capable of regularly delivering the majority of projects they undertake, to time, specification and budget. If such an anecdotal perception of project management performance is correct, how does this stack up against the so called “professions.”

Similarly, there are many courses on management and many prestigious institutions around the globe provide an excellent education in management including practical examples of the application of management theory. But good or bad, training or no training, it seems anyone can be a manager. So if one is a manager, does that make a person a professional? or if that person is a member of a recognised profession, does that person then have a management function or skill set?

Unless there is a requirement for some form of legally sanctioned professional schooling, training and subsequent accreditation administered by recognised controlling bodies – similar to other recognised professions, that would ensure some kind of minimum standard or setting of grading of project managers – it is difficult to see how PM can rise above a skill set to be considered a “profession” in its own right, comparable with those other professions. I do not doubt the abilities of people who are professional at what they do, but just like management that does not equate that what they do makes project management a profession.

For sure across a number of different industries and occupations there are some people who specialise in PM and some of whom are exceptionally talented and well versed in the language and skill set of PM, with an enviable history of successful delivery of a wide variety of projects of differing levels of difficulty. But having said that, I firmly subscribe to the view that PM has some way to go before it can be considered as a recognised profession in the true sense of the word. PM for the time being is a very practical and useful business tool or skill set which some people have or are in the process of mastering and others have not and perhaps never will master.

we will focus on following points for managing small projects:

Focusing on project delivery

Apply the best practices

Defining objectives and scope

Defining deliverables

Project planning

Communication

Tracking and reporting progress

Change management

Risk management

Focusing on project delivery

One of the arguments against using project management methodologies is that they are very process-centric resulting in vast quantities of project documentation which are simply not practical or desirable on small projects. This is a powerful argument and any method which focuses on producing documentation at the expense of delivering the real business benefits of the project will be a hindrance rather than a benefit. After all, the name of the game in project management is delivering business objectives, not producing reams of documents.

There is an ongoing and active discussion within the software development community about the best way to produce software on projects. More recently, some software professionals have argued for more agile methods of producing software rather than the more traditional heavyweight methods which focused on producing vast quantities of documentation.

Agile methods focus on delivery of software rather than documentation. With this in mind, I think project managers everywhere can learn something from the agile methods employed in software development. In short, this leads us to focus on project delivery rather than project documentation, although the critical choice project managers everywhere need to make is how much documentation is really necessary?

Apply the best practices

I am a firm believer in only producing as much as is required by the project. Nothing more and nothing less. A simple rule of thumb is: if it’s useful in helping us to deliver the business objectives of the project then produce it, if it isn’t useful in helping us to deliver the business objectives of the project then don’t waste time to produce it. With this in mind, I believe that in all projects, at a minimum it is best to apply project management best practices.

Let’s consider the best practices in turn and see whether or not the overhead lost in applying best practices is worth the benefits which can be gained.

Defining objectives and scope

Even on the smallest project there will be objectives which must be achieved. As a project manager, it is in your interest to define what these objectives are since you are likely to be assessed on whether the project meets those objectives. It is your responsibility to ensure the project meets those objectives and you are accountable for this. In short, the book stops with you.

Now suppose you don’t define and write down what the objectives are, you are always going to be at the mercy of any boss who decides he’s got it in for you. The defined and documented set of objectives is your insurance policy against your manager later coming along and saying you didn’t meet the objectives.

However, there is another reason why you still need to define and document the objectives even on a small project. You want to satisfy the needs of the stakeholders since that is what you are paid to do as a project manager. If the objectives aren’t defined, then you won’t be able to meet those needs through your project.

Similarly with defining the scope. The scope forms the boundary of your project. If you don’t define what it is, the likelihood is that it will grow and grow as the project progresses and although you might have started managing a very small project, before long your project could become very much bigger than when you set out.

You still need to document who are the stakeholders on a small project as well. By defining who these are, you can ensure that you cover all of their needs when you define the objectives and deliverables.

Defining deliverables

Somebody is going to have to carry out the actual work to produce whatever is delivered from your project. Even if the deliverables might be small and don’t take much time to produce, they should still be written down. By documenting these things and then having them reviewed by others allows errors to be found. Your aim should be to document a detailed enough set of descriptions of the products to be delivered.

These descriptions will then be used by the people who will produce the deliverables. Even if these descriptions take no more than a page of text, it is important to write them in a clear and unambiguous way. If you don’t write down a description, it means that the person making the deliverable can interpret what is required in unexpected ways which will only result in work being done later to correct the mistakes. So, always define and document the deliverables.

Project planning

If you were to walk up Mount Everest, you would never do it without a considerable amount of planning. Even if you walk up the hill at the back of your house, there is probably some planning involved – what time do you go? What should you take with you? It is the same on even the smallest project where you will still need to work out which activities are required to produce a deliverable, estimate how long the activities will take, work out how many staff and resources are required and assign activities and responsibilities to staff.

All of these things need to be written down and communicated effectively to the project team members. I’ve seen lots of people become unstuck because they think they need to use some kind of project management planning software such as Microsoft Project. This is an unnecessary overhead. I’ve noticed that people tend to waste too much time making their Microsoft Project Gantt charts look pretty, so that they lose sight of the reason why they are using the tool.

Instead, for small projects I find that creating a bar chart in Microsoft Excel is the best. It is simple and more than adequate for small projects. Just make each column a sequential date, write your tasks in the first column, and fill in the cells to represent the time the activity takes.

In addition to the bar chart, you will need to document the milestones on the project. Milestones are the dates by which you need to deliver certain things, or may be the date on which a major activity ends. The responsibilities of each project member must also be documented in the project plan.

Communication

Even in the smallest project team comprised of just a project manager and one other person, the project manager will still need to assign tasks and responsibilities to the other person. It can’t be assumed that they will know what they should do without it being effectively communicated from the project manager. If the project manager doesn’t assign them specific activities, then the chances are they will go ahead and work on things which are not needed by the project. So, either the project will end up delivering the wrong things, or the project will get delayed since time will need to be spent later on doing the activities which should have been done earlier.

You can communicate the plans via email, or give a print out of the plan to your project team member(s), or better still, call a meeting and run through the plan with the project team members. Remember, if the plan changes, you will also need to communicate the changes to your team as well.

Tracking and reporting progress

If we still consider our two person project team – the project manager and one other person – the project manager will need to know the progress of the activities which the other person is working on. This can be done in a variety of ways: a short daily email detailing the work completed, the work still left to do, and a list of any issues/problems. In most cases this will be sufficient.

Alternatively a short 15 minute face to face catch up can accomplish the same thing. Or a combination of the two things might be best. In any event, the project manager still needs to be fully aware of the progress that is being made so that progress can be tracked effectively.

Change management

Even on our two person project, changes are likely to occur. Requests for change usually come from stakeholders and it is your responsibility as project manager to assess the impact of accepting these into the project. To do this, you need a good estimate of the impact the change will have in terms of the extra effort and cost involved. This will often impact the schedule as well, so by having a clear understanding of how the schedule and budget will be affected you can make the decision as to whether or not you will accept the change into your project.

On a small project there shouldn’t be any need for any fancy change control board to decide if the change is accepted. A quick discussion with the key stakeholder(s) should be sufficient for you to come to a decision providing you have worked out the impact on cost and schedule.

One thing you should never do is simply accept the change. Even if you think the change is small, you should never accept any change(s) without fully understanding what its impact will be on cost and schedule. That is a recipe for what we call ‘scope creep’ where the project grows bigger and bigger as more and more changes are added into the project. Before you know it, your small project has become a much larger one and you will inevitably fail to deliver your project to your original budget and schedule.

Risk management

There will be risks even on a small project. Make sure you have thought through all the potential risks at the beginning of the project, monitor the top ten risks each week (or top five if the number of risks is small) and keep looking out for new risks. Failing to manage risk properly is one the main causes for projects to fail.

The overhead in managing risks is very low. On a recent project, I drew up a list of what I considered to be all the risks on the project. It came to about 10 risks in all. Of these, five were serious risks. I worked out a plan to avoid or minimise each risk. In all, it took me little over a couple of hours to do this. Then, each week on the project, I would spend say half an hour reviewing all the risks and thinking of any new ones. At the end of the project, whilst some risks actually had materialised, because I’d identified a plan at the start of the project to minimise the impact of these risks, the impact of these risks on the project ended up being minimal.

So, with little up front and ongoing effort, you get a big pay back if you manage the risks throughout the project.

During every phase of the project, initiation, planning, execution and closure there are the essential documents that need to be completed in order to ensure a project of high quality. These documents all support the project throughout it’s life cycle and play a very important role in ensuring the success of the project.

Initiation Phase:

Business Case – This will list your costs and benefits and will ensure everyone knows what the return on the investment will be.

Feasibility Study – Even before the actual project kick-off, you need to ensure that it is feasible to undertake the project, which is achieved by means of a feasibility study.

Project Charter – The project charter will document the project objectives, scope, team, high level timeframes and deliverables.

Planning Phase:

Project Plan – This first document you must complete during the planning phase is a project plan. In this plan you will list all the phases, tasks and sub-tasks that need to be done to complete the project. Every task and sub-task must also be scheduled and included times, so that you know what needs to be done by when.

Resource Plan – Next will be your resource plan, which states what resources are required on the project, including financial, equipment and other material resources.

Quality Plan - In order to deliver a project of high quality, you must document every quality target against which your deliverables will be measured to ensure customer satisfaction.

Risk Plan – Risks are a part of every project, but if they are not documented, you will not manage them. To manage risks effectively, document the likelihood and impact of every possible risk, and also the mitigation against each risk. Assign persons responsible to every risk.

Communication Plan – This is very import to document, so as to ensure that you communicate effectively to every stakeholder at the right time, the right information.

Execution Phase:

Change Management – You need to document every change on the project using a Change Form. This will allow for the proper prioritization and control of changes.

Risk Management – Ongoing risk management throughout the project must be documented on a Risk Form and Risk Log to allow for proper tracking.

Issue Management – An Issue Form and Issue Log will help to record issues as they arise and to add actions to resolve them effectively and quickly.

Time Management – Time sheets are very important in recording and managing every person’s time on the project. These can then be used to update your project plan on an ongoing basis.

Cost Management – Financial management of the project is managed using Expense Forms and budget spreadsheets. Every expense must be recorded and approved to ensure that you track this against the original project budget.

Closure Phase:

Closure Report: When a project comes to an end, it is important to document all actions and steps required to close the project. This must include the release or reassignment of people, equipment and materials, as well as any further phases or projects that may follow this project.

I have been reviewing corporate and government processes for managing projects this week, and the first thing that came to my mind is “OH my! There is no way I could get all these steps, documents, gates, checkpoints, etc. accomplished and still manage the project!” In some cases you would need a bevy of administrators just to make sure all the project management stuff got done!

That got me thinking: how much project management do you really need? For all you diehard project management process fanatics, that would translate to “how much project management rigor do you really need to apply to a project in order to successfully deliver the project objectives?”

Let’s find out …

Don’t get me wrong, project management processes are great (I am a certified project management professional for a reason). Project management processes provide organization and guidance on the steps to follow during the life of your project, but they can be a roadblock if the process becomes more important than the work being done.

What is needed is a determination early on in the project life to determine how much project management to apply. The industry calls this determination of project management rigor.

For example, the United States Center for Disease Control has developed a very clear process for determining the amount of project management rigor to apply to their projects, and can be found at their Unified Process [http://www2.cdc.gov/cdcup/document_library/project_classification.asp] web site. The CDC bases their determination on risk and complexity of the projects undertaken. The higher the risk and/or complexity, the more rigorous is the adherence to project management processes.

For smaller projects that are clearly understood and are less risky, you can afford to minimize the level of project management documentation, gates, checkpoints to use. But if your project is large, or contains many unknown and risky factors, then using the gates and checkpoints, and clearly documenting the project will help manage the risk and increase the probability of a successful project completion.

For example, suppose you have been asked to manage a project to deliver a new product to your industry. As this is a new product, there are quite a few unknown factors that need to be researched. During the research you may find some risks that you didn’t think about or know about at the beginning of your effort, so it will pay hugely to make sure you carefully work through the steps, documentation and checkpoints to make sure your project doesn’t blow the budget or fall short of the final expectations.

On the other side of the coin, suppose you are asked to plan this year’s user conference. This will be the 12th year of the conference, and the prior project managers are still around and available for guidance. The risk on this project is probably low, as there are fewer unknowns. There are also likely to be existing documentation from the prior years to guide you in the current project. It is a waste of time to recreate the wheel, and probably not as necessary to create the full complement of project management process documentation as it would have been the first time the user conference was planned.

So what can you take away from this? Basically, it is critical early on in the project (preferably during the initiating phase) to determine the level of rigor to apply to the project at hand. Based on your company culture and standards, this analysis can be based on any number of factors, like risk, cost, legal exposure, etc. The evaluation can be as simple as “large, small” budget versus “high, low” risk, or as complex as applying several rating factors to a project and calculating a value to be compared to a chart of values that indicate the level of rigor to apply. I have found several useful (and free) evaluative tools at Gantthead.com. George Jugan, PMP, has contributed an excellent analysis tool, which can be downloaded through his article, “Complexity Matters.”

So, the question on whether it is possible to be both a lazy and successful project manager really depends on how you plan to be lazy. If you have done your homework, and understand the type of project you are undertaking, then you can make an informed decision of what you need to do versus what would be nice to do from a project management perspective. Of course, this always includes a disclaimer: just because you decide at the beginning of a project that certain steps may not be necessary, it is never too late to change your mind as the project progresses, and realize that maybe you should have done that one thing you thought you could skip.

A project manager is a really high post where many people suffer because of the lack of leadership skills and also because they have a very bad team who will not listen to one word they are saying. PMs also have another problem, bosses who think they are superior and do not consider the PM or the project experts. In such cases the project management becomes weak and this leads to the failure of the project. In other cases when there is a good PM he will think of new ways to make his way with his team and also deal with the bosses in such a way which is beneficial for both of them. Being a PM comes with a very high social responsibility and it also comes with a level of dignity and respect among the team members. The leadership skills of a good PM spreads in the market like wildfire and his market value is constantly on the rise giving him a competitive edge over other competitors.

If you want to be a good PM there are certain good rules that you must follow to be one. First of all if your company has its own project management techniques then follow it effectively, if not, read upon the latest advancements and choose the management technique that has been tried and successful in similar projects like the one you are working on. It is better that you have a person as your mentor who will be able to guide you in tricky situations, it is not weak to ask for help, on the other hand it is really beneficial to your project and your team. You should make ready every element like the necessary software systems ready so as to make your work better. You must not go in search of these elements when you are concentrating on the project. Templates can be useful too if you have already worked on such projects.

Create a plan that will be better for your project. This plan must be creative and also efficient in the same way. If you are making a plan it must not be superficial make it to believable terms. The next step is to communicate your plan to the stakeholders of the project like the clients, government, the management etc. Once these stakeholders give their consent for the project your job as the PM is to carefully manage and track the progress of the project. In case there is any problem in the project it should be reported to the project management immediately.

As the project manager one of your most important duties is to manage all risks and issues correctly. If you are fretting in the wrong moment with a problem it would destroy the whole project. The next step is that you should maintain the progress report of the project process carefully and constantly and submit it to the project management from time to time. This serves as evidence. The final and the most important thing is deliver the project on time and also just the way they like it.

A Project Manager is nothing without tools & expertise in project management. I highly recommends Project Management Templates to project managers for excellence in work.

Some people think that managing small projects is easier than managing big projects. They are right, unless the economies of the scale require you to managing a number of these small projects at the same time. In that case, handling a small project is lot harder than handling a big project.

Small projects even though mostly overlooked, can make up the bulk of the portfolio and are crucial to a company’s success. They might not involve large sums of money, but the fact remains that if managed properly, these small projects can add up to some major costs in the long run.

The good news is that project managers need only apply standard best practices to these smaller projects in order to manage them more effectively. Here we discuss some of the best methods to be applied in a small project in order to make them success.

All in all, planning and handling a small project requires planning just like planning a big project.

Visibility in resource allocation:

The PM has to be able to manage the allocation of project work in accordance with the available resources. The PM must know who in the team is available to work before they assign tasks to people. The team member’s current work and future allocations has to be taken into account while determining how much work has to be given to a particular member. Even though the goal is to complete the work on time, it might not happen at all if the resources are not available and the available resources are not used judicially.

Not only should resources be available to do the work but they must also be the right resources. The PM must have the skill of choosing the right team members and resources in order to complete a project.

Effective communication:

Another important practice to apply to smaller projects is to open the lines of communication between the team members and the project manager. This will only help in producing better results. Only with increased communication could the project manager come to know about the difficulties faced by the members in completing the project.

It is also important to let team members communicate with the PM while the project is in progress. Small issues or holdups can snowball very quickly if they are not addressed in time. Everyone on a project team must know what is going on, and changes and adjustments like these should roll up to the general project timelines.

Project time tracking:

Projects are executed in order to bring in a positive return on investment. This cannot be easily determined unless the project mangers know what the full investment was in the first place. Tracking time to projects is necessary in order to measure project ROI.

This is also important in monitoring project status at all times. Tracking is important it helps the project manager time to identify the mistakes and nip it in the bud. This will also give the PM to analyze the different risks arising at different stages of progress of the project. He can then take necessary steps to counter the risks.

Hence, managing a small business could yield positive result if the project management involves detailed planning by the project manager and whole hearted commitment of the team members.

The leader is the person who leads the people to achieve some specific goals or mission in the particular, critical and tough situation. Some say that leaders are born but not made, then question arises that what the things are going to be made in this world? Every natural specie has some aspects to be an artificial alternative by the same analogy if there is something related to the born leader then there must be some aspects and chances to make some artificiality about the leaders and the leadership. So if someone says that leaders are born then the probability of creating leaders by Leadership Training cannot be ignored.

In my point of view nature has created some rules about the leadership, planning, management and skills. So some people follow these rules naturally but some can adopt or develop these kinds of rules in them. Then they will have some aspects near to the nature. Now I will like to comment on the leadership. Leadership has its own criteria. If someone fulfills the rules of the nature which are required for leadership then he is a leader. Many tips and tricks can be used to develop leadership skill inside a person. Here are my top ten tips and tricks about leadership development:

• Be a team player.
• Be a good jumper
• Be responsible
• Have good attendance
• Be patient when others are learning new tricks
• Demonstrate a willingness to teach others
• Listen when the coaches are talking
• Not “fool around”
• Work hard

The word documentation is always a great word to know.

Documentation is a type of information or collecting the informational papers, or the act of supplying documents or references with the help of written comments, flow charts or graphical illustration using different programs or software.

PROJECT MANAGEMENT DOCUMENTATION:

Every work should need the documentation, so should the project management. So if the documentation of project management is done it is known as project management documentation. Here the purpose of documentation is same; it is done for a project organization to provide it with the proper information of its project management, which is executed under different methodologies such as Gantt charts or PRINCE2 etc. And its documentation can be performed by using spread sheets under different programs like MS EXCEL, online web based spreadsheets like Google docs etc.

Because the project management documentation has now become very essential for different managements and project organizations, which is to be discussed further.

PROJECT DOCUMENTATION:

It is used to define the manner or track in which a project will be carried off. It may contain the following aspects.

PROJECT CHARTER:

The project charter or project initiation document leads the project towards the perfection. It is a very initial plan or idea of any task or work that has to be executed. The project charter has been there as long as the concept of work is there. The Egyptians, Greeks and Romans used project charter to create and execute their important tasks. The success of a project is based on creation, maintenance and oversight of a project charter.

SOW:

SOW is writing the project Statement of Work comprises with the description of all the work that is expected. SOW is considered as the key governance tool that the project must produce.

PROGRESS REPORT:

It is considered as a report of work has to be accomplished during a specific time period. In project management it is considered as a key activity where the reports should be issued to stakeholders and to concerned authorities regularly.

BENEFITS AND USAGE OF PROJECT MANAGEMENT DOCUMENTATION:

The project documentation is the heart of any management or project organization. It is being performed effectively in order to store the data or keep the track records and source of information of following managements.

COLLEGE MANAGEMENT

LIBRARY MANAGEMENT

HOSTEL MANAGEMENT

CALL MANAGEMENT

ROLE AND IMPORTANCE OF PROJECT MANAGEMENT DOCUMENTATION:

It can be considered as the fundamental activity that has to be performed to manage and define the workflow of the project organization. The project document is a self contained document with the due details of the steps of starting, planning, executing, controlling and closing phases of a project.

Thus there can be no denial of the significance and importance of project management documentation in different projects.

Read more at: What is the Role of a Project Manager in Scrum?

If a PM takes the time to learn something of Software Design Patterns related to software development then it is likely that a PM could better fit the row of SCRUM master. Requirements analysis requires understanding the Process Patterns of an organization. So it should not be unreasonable to have some understanding of Software Design Patterns.

Whether a PM should play a role in Scrum or not depends on the nature and size of the project. For small project where there are only one or two scrums going at a time, the PM can play the role of a Scrum Master to let developer focus on where they should be spending most of their time. For a large project where multiple scrums may be going at the same time, it would be better for a PM to identify Scrum Masters for each scrum and himself manage the project at higher level integrating all scrums for successful project completion.

The short of it is that a project manager can be a Scrum Master and a Scrum master can be a project manager, just not at the same time. The scrum masters role is to ensure the team is able to do commit to the sprint and removes any impediments that get in the way. The scrum master can also be part of the scrum team.

I say that it also depends on the company culture & strategy, some companies make confusion between the two roles, so sometimes you find your self in hybrid situation, especially in weak matrix organisations: you have to manage all stakeholders (customer, team & hierarchy), risks (without making actions),…Etc, and at the same time you have to participate in technique details with your team and doing SM reponsibilities as known.
Finaly, when you are in such situation, you have to forget that you are PM to do well as SM.

The scrum team can be seen as a work stream for the PM with the SM there to facilitate the delivery. If the PM has to function as the SM, he/she must perform the delicate balancing act where he/she must remove the PM hat while in the scrum and put it back on while communicating to the enterprise.

This article examines six common team challenges facing project management teams, and includes questions project managers may want to consider with respect to developing their own project teams.

Challenge #1: The Team’s finite timeline

Project Management exist for a finite period of time, with a fixed beginning and end period. The project may be days, weeks, months or sometimes years. Teams outside of the project world do not necessarily experience the same finite nature.

Questions:

What challenges does your team’s finite timeline pose?

What do you notice about your team process?

What specific needs does you team have, collectively, and individually as you move from kick-off to implementation and finish?

Challenge #2: Different roles and responsibilities of different team members

Project teams often involve a fluid mix of different team members coming in and out of the project. This may sometimes lead to lack of clarity about the different roles and responsibilities of the different team members.

Questions:

How much time have you spent clarifying the different roles and responsibilities of the different team members in your project?

Where is the overlap?

What are the gaps?

What steps do you need to undertake to address these?

Challenge #3: Different team members belong to a series of different project teams

It is quite common for staff members to belong to multiple project teams at one time, reporting to several supervisors or managers at a time. Matrix management brings with it opportunities and challenges for team leaders and team members alike.

Questions:

How strong is the association/membership to your team?

What steps can you take to boost team members association to your team?

What relationships do you want to strengthen across the matrix?

Challenge #4: Possible virtual nature of the Project Team:

A very common challenge within project teams is their virtual nature, where members of the team are either M-Workers, or actually located in different venues. Virtual teams can pose a wide range of challenges as they may operate across time zones, distance and cultures.

Questions:

If we have a virtual component to our team, who is on it?

What obstacles exist due to our nature of the virtual team?

What steps can we take to ensure that those needed are involved in our team process and communication?

Challenge #5: Unclear vision for the team

Unfortunately, it can be common for the vision of a project to held tightly by a few members of a project management team, and not widely shared by all. Developing a common vision is a necessary ingredient for creating a high performing team.

Questions:

Who has contributed to the overall vision of the project?

Who shares this vision? Is it common amongst all team members?

What steps can you take so that all team members share the vision?

Solution:

Spend time with the team creating a common vision of the end result

Challenge #6: Unclear on the strengths of the team

Given the often transient nature of project teams, it is quite common for the time together to be spent on action (which can often be unfocused) rather than preparation and planning. Remember, every 10 minutes of planning can save 60 minutes of unfocused effort.

Questions:

What strengths does each team member bring to your team?

What are the strengths of your team system as a whole?

What gaps or blind-spots exist?

What steps can you take the address these?

Solution:

Look for an assessment to measure the strengths of your team system, or the strengths of the individual team members. Have facilitated discussion around where the commonalities lay amongst the team, as well as the differences. Notice the project team strengths, as well as the blind-spots that exist.

As you move into a new project, take stock of these six challenges. Reflect on and discuss with your team the related questions and solutions to each challenge, creating a solid foundation for your success in Project Management .

One of the biggest issues that a new project manager faces is how much to write in his project plan. Of course, the actual amount and depth you need will vary from project to project and with different types of projects. So will the emphasis you place on each of the sections. One of the first tasks that you need to perform as a project manager is to determine the required depth and emphasis on each element.

In this article, I’m going to identify the ten sub-plans you need for your project plan. Each of these is effectively a complete plan on their own. In some cases, you will need to develop the plan during the project planning process itself. In other cases, you should be able to adapt a predetermined plan and process.

1. A plan to manage risk events.

This is probably the most important of the plans. Not everything that occurs within a project is certain. Some things can be predicted to be possible. Yet other things cannot be predicted to occur at all. Regardless, these uncertain events (called risk events) must be managed. Where possible they should be avoided or encouraged. Plans should be in place to mitigate or take advantage of them should they occur. One of the mistakes that new project managers often make is they focus on the negative. The result is a project plan that focuses on mitigation. However, risk also can result in a positive result. A risk plan should include processes and plans to take advantage of when risk events are in the project’s favor.

2. A plan to communicate.

One of the major reasons for project failure is a breakdown in communications. Every project needs a plan to ensure that appropriate communications between the project team and the various stakeholders occurs. This includes within the team itself. It also includes between the team and the sponsor and management team. And it includes between the team and the clients and ultimate beneficiaries of the project. However, it also includes communications between the team and others affected by the project. This can include such diverse groups as the general public or the families of the project team.

3. A plan to manage change.

Change is a reality. Especially when it comes to a situation as filled with unknowns as a project. When the project begins, most teams are not as aware of needed information as they would prefer. They are forced to make educated guesses. However, as time continues information is gathered. As a result, it is often necessary to revisit the previous decisions and produce new plans based on improved information. In addition, other changes may occur within the environment which necessitates changes be made to the project. A change plan is mandatory to ensure that the project does not become something it wasn’t intended to be, and yet allow it to vary as needed. The plan also needs to ensure that appropriate oversight is maintained.

4.A plan to manage quality.

Quality doesn’t just happen. It needs to be built in. The quality plan needs to identify the standard to which the project product needs to be judged. It also needs to identify how the project will be judged. Finally, it needs to identify how the project will ensure that it is producing a quality product.

5. A plan to manage the scope.

Just as a project may change because of new information, or new conditions, so it may also change because the participants decide to adjust the purpose of the project. A separate plan related to the project change plan is required in order to manage changes to the purpose and extent of the project. These changes will affect the project as a whole and require management approval. In order to ensure appropriate governance, the project needs to have a plan to ensure that only the correct tasks are performed.

6. A management plan for the team.

Of course, people don’t just manage themselves no matter how self-reliant the team is. Appropriate skills need to be available. Tasks need to be assigned and reported on. All of this is included in the team management plan.

7. A management plan for the materials.

Not all projects rely solely on the team members. Sometimes, it is necessary to obtain raw materials or equipment in order to complete the project. This plan details which materials and equipment. It also states when the materials are required and how they will be obtained.

8. A list of tasks.

The work break down structure is a list of the tasks which make up the project. Often associated with the WBS is a related list. This list includes who is responsible for the task. It also includes an extended definition of the task and its products.

9. A schedule.

In many ways, this is a summary of everything that has gone before. It takes each of the tasks and puts them into the order they will be done. Finally, it assigns a date to the start and completion of each of the tasks.

10. A budget.

The budget plan details the management of the project’s actual costs and budget. In addition, it also details the amount budgeted to the project.

Step 1 – Assess the purpose of the documentation

Begin the documentation process by assessing the purpose of the document. Different documents serve different purposes. For example user guides inform a products users how to best use a product and get the most from it, while a sales presentation’s purpose is to get the reader to buy a product. It is important to establish what you want the document to achieve, as this will influence the rest of the documentation process.

Step 2 – Assess what tasks the users will perform

This step involves assessing the tasks users will perform, this is known as a task oriented approach. The task oriented approach begins by focusing on how the users would use the software or product to solve their problems or complete real world tasks.

The task-oriented approach creates more useful documentation than the functional approach to document development, which involves describing each button and function. The problem, with the functional approach is that it only gives the user half the story and does not help to integrate the software or product with real world tasks that the user will need to perform. This can often leave users with a low opinion of the software or product, when it was really the documentation that let them down.

At the end of this stage you will have a list of tasks and sub-tasks that will provide a skeleton for the documentation.

Step 3 – Analyse the audience

The audience analysis is where you create a profile that provides generic information and any assumptions you are making about the different audiences groups the document will have. Working from the audience analysis helps you to tailor the documentation as closely as possible to the needs of the reader. The audience analysis is where you try to understand who will be using the product you are documenting and what assumptions you can make about the knowledge and skills they possess. This allows you to include the appropriate level of detail and write using language that each audience group will understand.

Step 4 – Develop an audience task matrix

The audience task matrix links the tasks to the different audiences that a document is likely to have. The audience task matrix provides a useful tool for structuring the documentation, grouping information by likely audience and if required, helping us split a document that was too large. It also provides an additional check that all users and tasks have been considered.

Step 5 – Create the document plans

The next step is to create the document plans based of the information from the previous steps. This is a top down process, which you start by creating a high-level table of contents. Then you loop between the document plan and information gathering until you feel you have all the required content for each section.

Step 6 - Gather information

The information gathering process involves a combination of interviewing Subject Matter Experts (SMEs) and working from existing documentation. For example, when documenting software there is often valuable information in requirement specifications, functional specifications and use case documentation. This provides a basic level of information that you can build on through interviewing the SMEs.

Step 7 – Design the look and feel of the document

Designing the look and feel of the document involves deciding what format to use. For many projects a paper document may not be the best choice, an online help system or a web page may provide a better solution. It is important that the document looks good and is easy to read, so you need to consider the page layout, use of white space and visual density. You also need to take into account navigation features, so that multiple users can navigate through the document in different ways. At this stage you must also check if there are corporate guidelines or style guides that the document needs to adhere to.

Step 8 – Begin the writing process

Now you have a good idea of the content and a template to work with you can begin the writing process. During the writing process you focus on presenting information consistently, separating procedural information and reference material, determine the most effective use of images and diagrams, and making sure the information is tailored to the appropriate audience.

Step 9 – Edit and proofread the documentation

Finally you edit and proofread the documentation. You check each document against a proofreading checklist. If there is a style guide for the documentation then base the checklist on the style guide. This is an iterative process where the sentence structure and clarity of the document improves with each pass.

Becoming a successful manager requires you to develop good management habits that become second nature.

Always treat employees with courtesy and respect. This means that we make requests, rather than bark orders. We listen without interruption when others speak and acknowledge the opinions of others, even if we disagree with them. Courtesy and respect make work and life easier for you and your staff.

Provide reasons, whenever possible. People are more likely to support you if they understand the reasons for actions and requests. Need an employee to work overtime? Explain why it is important. Need a report three days early? Give the employee a reason. Giving employees the reasons for actions or decisions help them put it into context. They may not like it, but they understand why it is necessary.

Always remember that your employees are people with a life outside the organization. Sometimes, their personal lives must take precedence over their work lives. Take personal pressures and demands into account when addressing behavioral and performance issues. Personal problems are not an excuse for poor performance or bad behavior, but they can be a mitigating factor.

Manage by walking around. Get out of your office and cube and walk the floor. Meet employees on their territory and find something to compliment. Ask how things are going? Be a physical presence and help employees get to know you as a person in addition to their manager.

Spread the word and show appreciation for a job well done. When an employee does an outstanding job or performs work outside the scope of their daily duties, make sure you recognize that accomplishment in the presence of your entire staff.

Risk management is often done with little real focus, or not at all, and your note emphasizes the criticality and some great tips. I would like to add a couple of comments from my experience as well:
1. I like to also use a fishbone diagram when categorizing. I usually ask attendees to consider risks of technology, human resources, processes, and competing priorities, so they expand their thinking on what risks exist. You could do this at the start, before they record their ideas, or at the time of categorizing, and then ask them if there are other risks not considered in the ones presented.
2. I have found that after listing and prioritizing the risks, the group needs a rest, and that identifying mitigating actions (and assigning these) is best done in a separate session, a few days later. They need fresh thinking for this, and need to be ready to take on responsibility for risk actions.
3. Formal documentation if important, so that the agreements are not forgotten. Also, it is good to put agreed actions into your action log, or even the project schedule. This way, there is followup through regular project processes,.
4. I like to ask the team what their estimating assumption is for each highly rated risk. Most teams are way to optimistic, that they can fully control every risk. For example, if competing priorities is an identified risk, get specific about what other priorities are, how they can be managed against the needs of this project, and how/when delays could develop as a result. Use this in your scheduling of the project, and identify backups, contingency scheduling, or other ways to mitigate the risk. Do not, however, assume that it will be 100% mitigated.
5. Many projects do a great job of risk management planning, but do not follow-through. It’s amazing how many projects are derailed by risks that are identified at the start, but not really managed. It is critical to review the risk and actions taken at least monthly, to verify if the actions are working, if additional actions are needed to control known risks, if any risks are eliminated, and if new risks are arising. Risk Management must be an ongoing effort, not a one time effort to be successful.

I know that most of these ideas are not new, but they are often overlooked, sometimes with severe consequences.

A project manager is the person who is generally considered mostly responsible for the success or failure of a project. It is he who decides how the project must proceed. The project manager is the person, who is in contact with the top management, client and also the team members who are a part of the project. This means that the project manager is the most trusted part of the team. For every good he will be praised and for every bad he will be blamed. PM must ensure that everything is running smoothly so that the project may be finished on time and in the right manner so that both the project management and the client will be satisfied with the end product. Being an efficient PM is like being the most wanted commodity on the market. The efficiency of the PM will spread really fast and quick among various companies and the competitive edge that the PM has over the others will increase.
There are a certain steps to be followed if you want to be an efficient and effective PM who will lead your team or your project to a success. First of all you must make a requirement analysis of the client to know what exactly he is looking for from the project, what are his specifications for this particular project must also be understood. This should be done at each level of the project. The next thing that the PM must take into consideration is that he should be able to manage his resources carefully, his software resources as well as and especially his human resources. He must make his team feel comfortable about working with the project and also comfortable enough to implement any sudden changes suggested by the client or the management.
An effective project manager should be aware of the process and methodologies that are being followed by the project management. He must not deviate from these methodologies if he knows it will give him success and also a successful project. In such a case that there is not project management strategy in the enterprise then he must formulate one on his own which has been tried and tested successful in some other similar type of project. PM should ensure a smooth and proper flow of the knowledge among the team members and also from experts and the project management.
PM must ensure that he has proper risk management abilities so that he can either avoid or manage the risky situation effectively and efficiently. The PM must know how to fix a proper budget for the project which is not too low or too expensive. In case there are some parts of the project that are outsourced then the PM must ensure that they are properly done by the lines of the client. An effective PM must be able to keep up with deadlines that are set for the project and communicate with the client about the process from time to time.

A WBS can be designed by using a variety of tools and methods. One of the widely used methods for generating a WBS is the top-down technique. The steps followed in the top-down approach are listed below:

1. Recognize one more purpose of the venture. This requires a specific research of the venture opportunity papers. In MS Project, kind the name of one more purpose in the Process Name area.

2. Assess one more deliverables that need to be designed to get the goals determined in step 1. Enter the collection of ultimate deliverables in the Process Name area. Indent all the sub-deliverables by using the forward pointer key in MS Project. Now, you will have one more deliverable composed of the sub-deliverables in MS Project.

3. Break down one more deliverables into actions and continue this training until a stage is attained (work package) where you can management and watch the individual duties. You should be careful to make sure that each work offer contains only one deliverable. In MS Project, for each sub-deliverable, kind the collection of actions. Duplicate this process until you reach the job offer stage. Make sure that you keep indenting each stage. Indentation makes interactions between the deliverables and its element sub-deliverables. MS Project instantly makes the WBS requirements in the Describe Amount area, using the outline structure of each task/activity. These outline statistics change when you switch the work to a different stage or location.

4. Re-evaluate the finish WBS after a thorough suggestion procedure with the venture group and key stakeholders. The purpose should be to obtain an agreement on the feasibility of the achievements of the venture preparing training which in turn will make sure the achievements of your venture.

The top-down means for generating the WBS is typically used when both the venture supervisor and the venture group have substandard experience in generating the WBS or the venture specifications are not thoroughly comprehended. This strategy allows the venture supervisor and the group to gradually complex on the WBS after several events and suggestion periods.

Integration of the WBS in the Project Schedule

The WBS types the spine for a variety of venture management software actions. It provides a valuable knowledge for price evaluation, preparation, and examining the development of the venture.

To include the WBS in the venture program using MS Project, you need to add more details to the indented tree-structure of the WBS that you have already designed. The detail that you need to add includes:

· Duration: The total time necessary to finish each task needs to be specified in the WBS.

· Process Dependencies: The relationship between duties is specified. You can set up the habit by using the network plan research done in the preparation stage.

· Constraints: You need to specify the difficulties or restrictions (if any) for each task. The difficulties are also established in the program research stage.

· Process Begin period and Process Complete date: When you specify the length of your energy and effort for each task, MS Project instantly determines the Process Begin and Complete Schedules.

· Resource Names: You can specify the options by simply clicking the Determine Sources button.

While adding the WBS in the venture plan, it is crucial to add the WBS book. The WBS book helps in adding other venture management software procedures with the venture opportunity and works as a useful tool for making clear the exact venture specifications with regards to the opportunity of labor, price, goals etc.

A well-defined WBS can be a significant adding element in guaranteeing the achievements of your venture. It assists as the key adding element between different the venture management software procedures and is regarded to be the groundwork diamond for the venture.

The Function Malfunction Structure (WBS) is an ordered breaking down of the venture goals into deliverable-oriented duties that are carried out by the venture group to accomplish the overall venture goals. The WBS types the spine of the entire venture preparing actions. The WBS splits the opportunity of the venture work into smaller, controllable work offers for maintaining better management of the venture actions. As you switch from the greater amounts of the WBS to the ‘abnormal’ amounts, the definition of the venture works gets more specific with the greater amount which symbolizes the significant stages of the venture. It is crucial to remember that the WBS symbolizes 100% of the entire job determined in the venture opportunity. Anything that is not included in the WBS is regarded out of opportunity for the venture.

Uses of the WBS

The WBS addresses the following specifications of the project:

· Identifying the venture opportunity with regards to deliverables and components

· Offering the framework on which the venture position and development reviews are based

· Assisting interaction regarding the venture opportunity, program, possibility, performance, price etc with the stakeholders throughout the venture life cycle

· Offering information for other venture management software procedures like evaluation, preparation, possibility review etc

While generating the WBS, you should make sure that the WBS structure is consistent across a finish selection of tasks. This will make sure that information from a specific venture can be quickly restored and a library composed of venture information can be established for upcoming referrals over some time period.

Components of the Function Malfunction Structure

The essential elements of a WBS are specific below:

· WBS Levels: All the job to be done on the venture is determined into ordered amounts with the greater amounts showing the significant deliverables for the venture and the ‘abnormal’ amounts showing the granular stage actions needed to be carried out towards accomplishing the deliverable. The variety and complication of the WBS amounts is based mostly on the dimension and dynamics of the venture.

· WBS Dictionary: The WBS book is an integral part of the WBS and it further details the actions of each element of the WBS. It provides details about the job to be done, actions, and goals, price quotations, options necessary, and contract details for each element of the WBS. The basic purpose of the WBS book is to eliminate any indecisiveness regarding the opportunity of labor.

· WBS Value numbers: The WBS code variety is a unique identifier for each element of the WBS and should be such that it can be quickly enhanced to provide any upcoming changes to the WBS.

· Vision counsel format: A WBS can be showed in different ways, with regards to the ease of use for the venture group and the organization. Standard types for which symbolizes a WBS structure are:

Describe view: In this structure, the WBS is mentioned using different amounts of indentation, with WBS code variety for each element.

Tabular view: In this structure, the ordered structure of the WBS is showed with the help of the content of a table.

Shrub structure view: In this structure, the WBS is mentioned using a pine structure with each kid element connected to parents or guardian element through a line. The parent or guardian symbolizes the next step which is decomposed into the kid element.

· WBS Element: Each part of the WBS and its features consist of a WBS element.

· Function Package: The minimum stage WBS element for each side of the WBS is known as the job offer. The work offer also features the program actions and goals to be attained to finish the job offer deliverable. One of the main problems that venture professionals face while generating a WBS is determining on the correct dimension for a piece offer. A work offer that is too big would indicate reduce management on the actions. In the same way, if the job offer is too small, it would consume a lot of effort in handling. The 8/80 concept generally followed by venture professionals, develops that the dimension the job offer should not be less than 1 hour and not greater than 80 hours.

In my research on the benefits of project manager and function control, I have thought a lot about the energy of alliance not only on tasks, but on venture methods, methods, and frameworks. While it is obvious that there is energy in alliance to get function done, I would like to consider the energy of alliance on “how” that function gets done. After the entire how” is ultimately what provides tasks through their life-cycle?

To carry this conversation to a much focused level, I would like to talk about the benefit of alliance on the “tools” of handling the “how.” In less challenging, less opaque terms, I mean the things like project manager layouts, venture routine control, application etc., where the actual methods are maintained. While project manager application successfully guides the venture, and the technique successfully guides the venture methods, the project manager layouts change the way in which the project manager application uses methods to direct tasks and their methods.

This is a lot to think about, so, let me provide a metaphor. A venture is like cutting an apple company. The technique is the way you piece it, and the application is the blade that rounds the apple company. Then there’s the apple company slicer, a very particular blade which makes actual reduces all around the apple company in one downwards movement. Like the apple company divider, with application that makes and customizes layouts, venture professionals can develop in on tasks with excessive focus to its individual attributes.

Let me carry you back to the heart of my argument: the energy of alliance on layouts. If venture groups are outfitted with indicates of web-based alliance on venture layouts, then the overall performance of venture performance is greatly improved. In another metaphor, a venture is like making a street. The technique is like the understanding of how to develop successful roadways. The design is like the guide to the type of street you are developing – path, grime street, road freeway, etc. – how to collect the particular kinds of resources and the understanding of where / when to comply with certain rules. That said, when staff are able to work together on the actual “how-to’s” of the street they develop, they are able to generate much quicker while maintaining overall performance. It is not about generating roadways into new locations, nor is it about generating new kinds of roadways. It is about standardizing the indicates of generating new kinds of roadways into new locations.

The purpose of project manager application, in this respect, is to improve time-consuming and / or repeating methods, and what better way to do it than let staff jointly generate their own indicates of handling work? When this happens, control truly starts to lead roadways for a future of imagination and work environment tranquility. That is when, in its ultimate end, groundwork for function is installed out for entire corporations.

There are some managers out there who have not heard of the adage: “Project management is really people management.” Why is it that we give so little attention to understanding how to manage people properly, knowing that they are the backbone, energy, brain and muscles behind each project. The big question is – how can you keep your project team focused and happy Yes It’s as simple as that. When people work in a stimulating and harmonious, it is required to make pretty good stuff in them!

So let’s look into those 5 tips for managing people better:

1. Don’t ignore your staff. These guys are in the trenches and on the battlefield of the project. They are soldiering on to meet deliverables and to deliver the scope of works. You are the general, the leader, the motivator and Dalai Lama if you need to be. Listen to the issues and recommendations. Build rapport and do whatever it takes to foster commitment. You want them to own their part of the project… and you want them to love owning it!

2. You’re not a buddy, you’re the boss! Before you pull that statement out of context, there is a fine line to be tread here. The project team can be a complex animal. Each has their own set of expertise, but all need to fuse their knowledge together to accomplish a certain goal. In doing so, you need to be friendly and approachable, but also objective in your decision making. Its about giving meaningful and positive feedback, but also being honest in your critique towards addressing improvements and giving advise.

3. Being rude will get you nowhere! There are a few big no no’s in project resource management. The first – Never openly criticize a team member in front of the other team. Notice I used the word “criticize” and not “critique”. If you finish your project and everyone run for the hills after practical completion, then you know that your team has shunned what was suppose to be, the most satisfying milestone of the project.

4. Don’t dodge the elephant in the room. Men are especially great at this, that it why woman project managers are getting some very good rep now a days. If a project staff member is under the pump or going through a tough personal time, chances are that it will show. You need to help confront any potential issues that hinder their performance, you won’t always be able to help, but they will know that they have your support.

5. Speak before you think… No actually, its think before you speak! Very important for the driven & pressured modern day project manager. Think about the project and resource repercussions of making a decision. Assuring the client that you will complete a non-critical task by Monday, but it would mean that you will have to call some team members in on a Saturday or have them stay for a late night, is probably not such a great idea. Think, reanalyze and reshuffle.

Management Considerations and Challenges

- Key Management Factors and Areas: The following are areas which change in importance as a company develops and grows, which often determines the success or failure of the enterprise:

1. Financial Strategy: Cash Flow and Finance
2. Personnel Planning: Amount, Depth, Structure and Quality of Key People and Management
3. System Integration: Product Development, Production Management, Cost Controls, Budgeting Systems, Marketing Systems, Quality Management, Customer Relations, Strategic Planning, Cash Flow Management, Profitability Analysis, Asset Management, and so forth.
4. Business Resources: Customer Service, Market Share, Market Growth, Market Penetration, Market Trends, Supplier Relations, Manufacturing Processes, Facility Efficiencies & Expansions, Distribution Systems, Sales Management, Innovation, Technology, Industry & Market Positioning and Business Reputation.
5. Company Goals and Objectives
6. Operational Planning and Abilities
7. Supply Chain Management
8. Owners Willingness and Ability to Delegate
9. Strategic Long-Term Outlook and Management

- The Role of Business Planning:

A good Business Planning Structure will look at the mentioned factors (among others) and effectively plan, develop, install and implement systems and processes to manage and anticipate these challenges throughout the business enterprise. A company can grow, or for that matter, collapse, so quickly that it is very important to have Planning and Control Systems in place to manage all the numerous variables which a business encounters and considers. Therefore, as the business grows and changes, and as the markets and competitors change, the small business has established systems and resources in place to successfully handle and manage these changing forces and factors.

Future Planning

- Growth Considerations

1. Does the business have the quality and diversity of experience and talent needed to effectively manage a growing company?
2. Does the business have systems in place and in development to effectively handle the needs and demands of an expanding, diversifying enterprise?
3. Do the entrepreneur/ owner/ founder(s) have the foresight, inclination and ability to delegate decision making to management?
4. Does the business have the Cash and Finance structure, along with an understanding of the Risk Factors, to aggressively pursue rapid growth?

Application

In managing a growing, expanding and maturing Small Business, we presented a model by which to evaluate and plan for the current business situation and future concerns and challenges. By understanding the particular Growth Stage Characteristics and Issues, Management Considerations and Challenges, as well as, Future Growth Planning Considerations, a business can apply this planning format and model to anticipate problems and successfully sustain growth. This model should be an integral part of a Company’s Business Planning, Market Planning, Product Development Planning, Strategic Planning, Sales Planning and Financial Planning and Forecasting.

Conclusion

An imbalance of management factors and challenges can create serious problems for the entrepreneur and his/her growing enterprise. We illustrated how the problems faced and the respective skills necessary to effectively deal with challenges change and evolve as a company grows, expands, and seeks success. Therefore, it is vitally important for business owners to anticipate and strategically manage these factors as they become influential and important to the enterprise.

As I explained in this article on Small Business Growth Management Strategies, a company’s stage of development determines the managerial factors which are necessary and important. A Company’s Planning Structure is vitally crucial in determining which factors and issues must be faced and dealt with. Knowing its keys to success, development stage model and future planning needs, a company’s managers, entrepreneur, founders, executives, investors, advisors and consultants can make much more informed strategic decisions and plan for future challenges.

The Case for a Business Consultant

When an entrepreneur is starting and growing a company, it becomes vitally important from the outset to seek and obtain objective advice from experts. The Company Principals need expert advisors on their team to discuss decisions and obtain objective advice; challenge the founders’ venture needs appraisal; provide an honest appraisal of strengths and weaknesses; review decision making processes; identify survival tactics and needs; develop and implement a business plan, marketing plan, strategic plan, sales plan, and financial strategy; build market focus and niches; anticipate market trends; establish and sustain competitive edge; provide financial foresight and planning; focus on cost controls, budgeting procedures, cash flow management and maximizing profitability; along with obtaining the appropriate Financial Resources to augment self-investment and achieve growth goals and opportunities. In short, a Business Consultant, with an experienced track record, can fill this long requirement list, helping the entrepreneur and his or her advisory and management teams to successfully start, structure, plan, expand and profitably grow the enterprise.

Many companies manage projects using desktop software applications like Microsoft Project and Microsoft Excel. By the way for this purpose project management templates are very important and play a vital role in project planning and construction. The challenge with using desktop software to manage projects is that these applications are not designed for collaboration among several parties. At worst, the file is shared by email with all parties on the team. At best, the file may be posted on a network or on an extranet and shared from there.

Another issue with using desktop applications is that the minute information is emailed to the project team, the data becomes out-dated. That is, the information is not available in real-time. Projects are inherently dynamic, efforts that change by the hour and sometimes minute.

A project management solution that is hundred percent web-based, solves these issues by allowing project managers and their team members to access information from any browser in the world, at any time. The project information is collaborated in one central database and posted in real-time, ensuring that all the team members and executive management can view the most recently available information about the task.

A web-based project management software solution has the advantage of storing all projects, resources and their assignments in one centralized place. Unfortunately, not all web-based software is equal. Many low-end solutions and even mid-market project software’s cannot perform resource allocation properly. So, when you are evaluating systems, be certain to check and see if the solution can perform these functions:

o Display a cross project resource allocation report or grid with all the resources, projects and tasks in the system.
o Drill down from the report to view the projects and tasks that are causing the over allocation.
o Show all the work and effort of a project team, member or resource assigned to it.
o Account for non-working time at the global level, such as weekends and company holidays.
o Account for resource non-working time, such as vacation time.
o Account for part-time employees or sub-contractors schedules.

Many project teams are geographically dispersed. Projects are inherently collaborative efforts. The very nature of projects is such that there teams are usually comprised of multiple members. Often, project teams incorporate multiple organizations. Team members can include not only the employees, but also clients, vendors, sub-contractors, and other third parties.

Sometimes the entire project team belongs to the same company or organization; yet, the members often work from different offices either within a country or globally. Even if the project team is in the same office, in fast paced business scenarios information must be passed as rapidly as possible, making centralized project management software essential.

The ever increasing trend of outsourcing work and offshore development continues; project managers need to synchronize across multiple time zones. So, when the west-based team goes to sleep, and the team in the east goes to work, they may login to the web-based project management solution to view the progress on their assignment. Companies that manage this process well are all excelling as compared to their competitors.

Also, clients are demanding more visibility and transparency about the progress of their projects. Client-facing project teams that possess a collaborative software system to interact with their customers are selling this as a competitive advantage and winning business over their competition.

I feel that an area that is rarely talked about is the area of Emotional Intelligence (EI).
The area of Emotional Intelligence or (EI) is an area in which the dynamics and behavioral traits of individuals are considered as much as any other material project consideration

The definition of Emotional Intelligence (EI) is: The ability to perceive, control and evaluate emotions.

Out of the many project considerations, I feel that (EI) could be fully integrated into the process of managing a project, but more specifically into the areas of project team selection and risk management.

After all, it is the idea and the hope of the Project Manager that a group of individuals under their management and direction will gel and coalesce into a lean, mean, project machine.

We often hear about projects that are brought to their knees because of conflicts, breakdown in communication, and other human resource related issues. It is absolutely imperative that the project manager try to eliminate any of the gray or “unknown” factors from their project plan, so that all material risks are identified and handled in the best manner possible. In order to manage projects more effectively and reduce the challenges related to the dynamics of human interaction, the area of Emotional Intelligence (EI) should be considered and better integrated into the management of projects.

The area of (EI) is not immediately familiar to most individuals and not commonly considered in today’s current project management circles, but the future wave of project management should consider utilizing the concepts that help remove any of the “unknowns” and bring to light more quantitative, and qualitative information and data regarding the human resource element.

At least 50 root causes of failure have been identified and various taxonomies of those causes are available, reducing them to 6 categories, for example.

There have also been numerous studies on the success of IT projects. For example, one finding is successful projects tend to be managed by experienced project managers. I believe the number was around 95% in fact. Project managers seem to be a very critical factor. They also appear to be critical in the successful recovery of failing projects, according to the studies.

If these studies are accurate reflections of reality then, in IT, it seems important to have an experienced project manager who possess the right mix of skills and knowledge required to manage the common causes of failure, if success is an objective. I think the following list from a recent study does a pretty good job of summing up the causes of failure in IT projects. Personally, I think they point out the need for the project manager to be a good leader and communicator, who possesses critical thinking skills and experience dealing with these problems.

• Lack of top management commitment to the project

• Misunderstanding the user requirements

• Not managing change properly

• Failure to gain user commitment

• Lack of adequate user involvement

• Conflict between user departments

• Changing scope and objectives

• Number of organizational units involved

• Failure to manage end-user expectations

• Unclear / misunderstood scope and objectives

• Improper definitions of roles and responsibilities

• Lack of frozen requirements

• Introduction of new technology

• Lack of effective project management skills

• Lack of effective project management methodology

• Lack of required team knowledge / skills

• Insufficient / inappropriate staffing

That is a tough nut to crack. It is somewhat related to how people fall in love with certain pieces of technology, or certain vendors, and then every problem becomes a candidate for that technology or vendor to solve. I saw an example recently where one department had selected a document imaging solution for an order entry system. Because of departmental politics, the finance department, who needed numbers and strings, and were not about to build an audit trail doing bitmap variance reports, just went ahead and developed their own order entry system. Political warfare is a hard thing to overcome because most of it is not rational, as you know. Although, I think it helps if the project you are working on is a strategic asset, closely aligned with corporate strategy, where the economic value is clearly articulated and supported by senior management and governance, in which case they may help calm the departmental wars for you.

A lot of places training is an afterthought. Many companies see training as a waste of money and other resources, and therefore their employees barely know what they are doing.

I have lost count of how many places I have gone to and have seen the “training program” being management telling the new person to follow an older worker for a while at their job site and “do what he/she does”… amazing!

Places that run consistently efficiently have one characteristic in common, they train their personnel well, thus when things go wrong and/or not as expected (every day reality) the personnel will default to their training, and solve the situation(s) quicker than had they not being properly trained.

It is expensive at one end to have a proper Training Program for your personnel, but the rewards long term make up and then some for all the investment of time and money for the program.

But a training program is just one sub-part of the Personnel Element, which is one of the three Elements all industrial setting are composed of, Process, Equipment and Personnel. Failure to understand properly (and most importantly) realistically any of the three Elements will cause the organization/project/work to fail, if not right away eventually.

It is not just training, …for example: How many organizations have had each department generate and maintain realistic ongoing Baselines, Baselines that have been generated after keeping a close tap on a l l their processes for some years, which will then detect rare occurrences that will not be detected in most cases by quicker scope Baselines generated over a few weeks, as a result of some ongoing Project? Not many.

These ongoing Baselines are crucial in order to know r e a l i s t i c a l l y all the intricacies of their processes, which is paramount knowledge in order for (among other things) to generate a correct Training Program for their employees. So as you can see, Training itself is part of a Bigger Picture.

For this reason I developed a basic system to teach people to think “three dimensionally”, that being to think in terms of the three Elements of the Industrial Efficiency Triangle, Process, Equipment and Personnel. You have to have a handle on all of your three Elements, which is unique to each work place, in order to have true Efficiency, including complete satisfaction with the outcome of projects.

I know as a construction contractor, we don’t bid on every project. We are selective. Why bid on projects where the owners don’t pay their bills on time or keep changing their minds or try to obtain fixed price contracts when the scope of work is not well enough defined.

At some point, we cannot simply throw up our hands. As professionals, don’t we have some obligation, enough self respect to walk away from projects which don’t have a snowball’s chance in hell of being successful?
And what about purging those amongst us who are NOT competent practitioners? Those who studied a book of sample questions then passed a multiple choice exam and consider themselves professionals, but have never actually managed a project?
Bottom line- simply accepting that “people are the problem” is not what professionals do. If people are the problem, then the flip side of that must be that people are also the solution?

While I agree the “soft” skills are much more important than many make them out to be, I find the leading cause of project failure is poor scope definition by the client/sponsor/owner.

Many people think project managers are “miracle workers” and/or can read minds….. (i.e. believing we can find 9 women to produce a healthy baby in one month…..!!!)
As a life long (as opposed to accidental) project manager, when the scope is well defined and the needs, wants and expectations of the owner/client/sponsor are realistic, including both time and budgets, then projects rarely fail.
Unfortunately, this is not the case, which is why, IMPO, so many projects “fail”.

You may find the words of Douglas Adam to be of some relevance to your perspective- “Human beings, who are almost unique in having the ability to learn from the experience of others, are also remarkable for their apparent disinclination to do so”

I hate to be a skeptic, but I am pretty much with you on this as well. I find many clients HOPE you can work miracles, under the mistaken guise that you will somehow accept the challenge and rise to the occasion.

But until/unless we are willing to walk away from these kinds of clients, then we pretty much are stuck with this as the norm.

PART of the problem is having people who take and pass 1, 2 or 4 hour multiple choice exams having the audacity to think that qualifies them as being “competent” or “capable” project managers!!!!

When project managers have some real “skin in the game” (i.e lose their right to practice or are held financially accountable for their misfeasance, malfeasance or non feasance, I think we will some of these “experts” falling by the wayside and those who remain, being VERY cautious about which projects they are willing to accept.

I was speaking from the perspective of a contractors project manager in the construction sector. In that environment, the project manager has near total P&L responsibility for the project- he or she IS “management”……

Project managers working in an owner environment are a whole different world!!! But again, the project manager ALWAYS has the option of “just saying no”…….

(As a contractor, we don’t bid on every project and there are some clients we REFUSE to bid on their work at all)

Leave the “bad” projects and the “bad” clients to your COMPETITORS. Let them go out of business, not you!!

It gets worse……. Even if you are able to describe what a “successful” project looks like to you, not all stakeholders may agree……

Then to complicate issues even more, we need to differentiate between the success of the project and the success (or failure) of the PRODUCT of the project….

Look at the Sydney Opera house…… An abysmal failure as a project, but the PRODUCT of the project has become an icon for all of Australia………

I am not coming from a background anywhere near pharmaceuticals, but as a consumer, all I care about is did the drug or intervention you created do what you stated or implied in your marketing brochures without any unintended side effects. Whether it cost more than you had budgeted or didn’t go according to plan is not much of a concern to me. However, if I am dying, the fact your product is late may be of SIGNIFICANT importance to me…..

See where I am going with this? I think it was Plato who said “beauty lies in the eyes of the beholder”…….. I think it not unreasonable to paraphrase Plato by stating that “project success/failure lies in the eyes of the stakeholders?

It is used by managers, entrepreneurs, small business owners, freelancers, homemakers and other professionals to help them manage their tasks in a better, efficient and time saving way. There are several alternatives on offer by different companies if you want a specific feature(s) to fulfill your requirements.

A basecamp alternative must be a smart collaboration device which makes your numerous tasks easier to handle. Basecamp lacks in certain features like Gantt charts and some other features. These can be counted as limitations of basecamp. Gantt charts are a significant tool to set milestones and track progress. If your project can benefit from Gantt charts then, you musty look for a task management tool which has these features.

Project management and task management are two integral components of any entrepreneurial or company functioning. There are a number of things that you need to keep in mind when you are trying to ensure the success of a project. You need to have good project management skills to make sure that it goes well. It is the art of ensuring that optimum use of resources is made in the execution of the project. In this article we will find out a little more about project management and how you can use templates to reduce your work load.

It consists of the following: planning, organizing, delegating and appropriate allocation or resources. Planning involves the creation of guide or a plan of action. It involves thinking about how you want to go about achieving the goals of the project. Organizing a project means giving directives to all those involved and putting everything in its place. A well organized one will proceed smoothly and without mishap. Once the project has been planned then the manager needs to start delegating. He needs to tell each member of the team what they need to do and what is expected from them. The toughest job of a manager is allocating resources. Every project has certain constraints. There are limits on the budget, on the material available and there is a time limit. A project manager has to make sure that the resources available are put to the best use.

These managers find these templates to be very useful as they help reduce the work load. Before starting a project you should make sure that you have a completed project template. A template is a gauge or a guide. The project template is like a map. It will allow you to see the different stages that the project needs to go through. You will be able to see what the things are that need to be the focus at every stage of the project, thanks to project management templates. These templates are highly effective and will help with the planning and the organizing of a project. You can find a lot of premade templates online. Investing in a bundle of templates is worth it simply because they will save you a lot of time and energy later on. These pre made templates are very professional and will help you put together your project documents and you will not be at a loss for words when you need to make a presentation.

The great advantage of having these templates is that they are excellent ways of communication. With the help of a template you can let all the members of the team know what their job is and what is expected of them. If you stop at a particular stage of the project to attend to other thing you will be able to pick of right where you left if you have project management templates to guide you.
