The word documentation is always a great word to know.

Documentation is a type of information or collecting the informational papers, or the act of supplying documents or references with the help of written comments, flow charts or graphical illustration using different programs or software.

PROJECT MANAGEMENT DOCUMENTATION:

Every work should need the documentation, so should the project management. So if the documentation of project management is done it is known as project management documentation. Here the purpose of documentation is same; it is done for a project organization to provide it with the proper information of its project management, which is executed under different methodologies such as Gantt charts or PRINCE2 etc. And its documentation can be performed by using spread sheets under different programs like MS EXCEL, online web based spreadsheets like Google docs etc.

Because the project management documentation has now become very essential for different managements and project organizations, which is to be discussed further.

PROJECT DOCUMENTATION:

 It is used to define the manner or track in which a project will be carried off. It may contain the following aspects.

  • PROJECT CHARTER:

                            The project charter or project initiation document leads the project towards the perfection. It is a very initial plan or idea of any task or work that has to be executed. The project charter has been there as long as the concept of work is there. The Egyptians, Greeks and Romans used project charter to create and execute their important tasks. The success of a project is based on creation, maintenance and oversight of a project charter.

  • SOW:

                  SOW is writing the project Statement of Work comprises with the description of all the work that is expected. SOW is considered as the key governance tool that the project must produce.

  • PROGRESS REPORT:

                           It is considered as a report of work has to be accomplished during a specific time period. In project management it is considered as a key activity where the reports should be issued to stakeholders and to concerned authorities regularly.

The project documentation is the heart of any management or project organization. It is being performed effectively in order to store the data or keep the track records and source of information of following managements.

ROLE AND IMPORTANCE OF PROJECT MANAGEMENT DOCUMENTATION:

It can be considered as the fundamental activity that has to be performed to manage and define the workflow of the project organization. The project document is a self contained document with the due details of the steps of starting, planning, executing, controlling and closing phases of a project.

Thus there can be no denial of the significance and importance of project management documentation in different projects.
